How to Change Delegate Permissions in Outlook / Outlook365


This guide outlines how a BU User can share and extend access permissions to other BU users their default mailbox content folders from their own BU mailbox account. The default folders that can have delegated access permissions to others are as follows:

  • Calendar 

  • Tasks 

  • Inbox folder

  • Contacts 

  • Notes


PLEASE NOTE the following restrictions: 

  • You can only delegate to other BU user accounts, not to any others addresses outside BU.

  • These instructions do not apply to other personally-created content folders under a personal BU mailbox account (IE a new Calendar or Email folder with created with a custom name).  In order to extend sharing permissions for custom-created calendars or mail folders, please refer to the other support article here:   


Prerequisites


These steps require the use of the "Desktop" version of MS Outlook, with their BU email account set up in the program.

Steps


  1. Open MS Outlook, and begin by clicking on the File tab
  2. Click the Account Settings Button, then select Delegate Access
  3. If the User name is not in the list of delegated accounts, click the "Add" button and find their name to add them to the Delegation list. If you already see them listed as a delegated user, then simply select the name of the User in the Delegates list, then click "Permissions"
  4. To just read calendar items, select “Reviewer (can read items)”, this will remove the Delegate receives copies of meeting related messages sent to me.” Checkbox.   Then click OK.
    To Edit calendar items, select "Editor (can read, create, and modify items), Select or Deselect " Delegate is to receive copies of meeting-related messages sent to me". Then click OK.
  5. Recommended: If you want to notify the user of the level of access they are now receiving, be sure to place a checkmark in the box to "Automatically send a message..." at the bottom of the permissions window.
  6. Click OK again to exit the Delegates window then go back to your regular email view.
